Instead of adding a conference's sessions one by one, bring the whole programme in at once. InterScribe reads sessions, rooms and speakers from your file, and you check everything before anything is added.

Schedule import · Disponible

Before you start

  • Create the conference with its days. See Events and conferences.
  • Have the programme as a PDF, a Word file (.docx), a photo or screenshot (JPG, PNG), or text you can paste. A file can be up to 10 MB and 20 pages.

Steps

  1. STEP 1Open the import
On the conference's Schedule tab, select Import schedule.
  2. STEP 2Add the programme

Drop the file, select Choose a file, or paste the programme from an email, website or document. Then select Read schedule.

  3. STEP 3Wait while it reads
Reading usually takes 10 to 30 seconds. You can keep the page open or come back to it.
  4. STEP 4Review every row

Each row shows the time, session, room, speakers and language. Use Needs a look to see the rows to check first. Select a row to see where it came from in your file and Why we read it this way.

  5. STEP 5Fix what needs fixing

Change a time, a name or a room in the row. Turn Include off for anything you do not want, such as a break. A room can't hold two sessions at once, so fix every clash before you continue.

  6. STEP 6Add the sessions
Select Add draft sessions. The button shows how many sessions it adds.

What the import decides for you

  • Rooms and speakers are matched to the ones you have. New ones are suggested, never added without you.
  • Language is taken from the session title when the programme doesn't say.
  • End times: a session ends when the next one in its room starts. When nothing follows, the end time is guessed at 45 minutes.
  • Breaks are left out. Turn one on to add it.
  • Dates outside the conference are marked, so you can move the session to a conference day.

After the import

Imported sessions are drafts. Nobody sees them until you publish. Your file is read once and not kept.

  • Select Publish all to publish the imported sessions.
  • Select Undo import to remove them. Undo removes the draft sessions the import added, and the rooms and speakers it created once nothing else uses them. A session you have already published stays.

If something goes wrong

  • Nothing found: the file might be the wrong one, or a photo that's hard to read. Try another file, or paste the text instead.
  • We couldn't read this one: nothing was created. Try again.
  • This workspace has reached its monthly import limit. The page says when the limit resets. Ask support if you need a higher limit.
  • If the import is switched off, add sessions one by one, or try again later.
