A single session suits a talk or a weekly meeting. A conference groups many sessions across days and rooms, with one set of settings and one speaker list.

Create a conference

  1. STEP 1Start it
Go to Conferences and select New conference. You can also go to Sessions, select New and choose Conference.
  2. STEP 2Name it
Give it a name, its days and its time zone, then select Create conference.
  3. STEP 3Add the rooms

On the Rooms tab, add the rooms the conference uses, in the order the schedule shows them. Use one of your rooms, or create a new one. Each room has its own AV channel, used by every session in the room.

  4. STEP 4Add the speakers

On the Speakers tab, find one of your speakers or create one without leaving the page. Sessions pick their speakers from this list.

  5. STEP 5Check the settings

On the Settings tab, check what the conference's sessions start from. See Inherited settings.

Build the schedule

The Schedule tab shows one tab per day, from the first day to the last, and one column per room. Session times are in the conference's time zone.

  • Click a time on the grid to add a session in that room, or select Add a session.
  • To bring the whole programme in at once, select Import schedule. See Import a schedule.
  • A session you add here starts from the conference's settings. Description, captions, chat and the rest are on the full session page: select Open the full session.

Publish the sessions

When you add a session on the schedule, select Publish to show it on the conference schedule, or Save as draft to keep it hidden. To publish drafts later, select Publish all drafts. Each one is checked for room and AV channel clashes, and one clash stops the whole batch.

The Sessions tab lists every session in the conference with its room, channel, speakers, language and status. Select several to move them to another room or publish them together.

Delete a conference

Select Delete conference. Its sessions are not deleted: they stay on the events list, outside any conference.
