Run a session from inside a Zoom meeting

Open the InterScribe panel in a Zoom meeting, make the meeting a session, share the link, go live and end, without leaving Zoom.

The InterScribe app adds a panel beside your Zoom meeting. From it you make the meeting a session, share the audience link in the meeting chat, go live and end, and you see who is following. Everyone else in the meeting who opens the app lands on the session's event page.

Zoom meeting audio · Early access

Before you start

  • A Zoom account connected to your InterScribe workspace. See Add, use and remove InterScribe in Zoom.
  • Your own role in the workspace. The panel acts with the permissions of the person who connected the Zoom account. If that person lacks a permission, or is no longer in the workspace, the panel refuses and asks you to reconnect Zoom from InterScribe.

Add the app from the Zoom App Marketplace

  1. STEP 1Add the app
In the Zoom App Marketplace, find InterScribe and add it.
  2. STEP 2Sign in and choose a workspace

InterScribe asks you to sign in, then shows Connect Zoom to InterScribe. Choose the workspace the Zoom account joins. A workspace where Zoom is not turned on, or where you may not connect Zoom, is listed with the reason.

  3. STEP 3Connect

Select Connect Zoom and approve the permissions at Zoom. See the list on Add, use and remove InterScribe in Zoom.

If you are not in a workspace yet, InterScribe says You're not in a workspace yet. Create one or ask to be invited, then add the app again.

Open the panel in a meeting

  1. STEP 1Join or start the meeting
Use the Zoom account you connected.
  2. STEP 2Open the app
In the meeting, open Apps, then select InterScribe.

Opening the app outside a meeting shows Open InterScribe from inside a Zoom meeting. If your version of Zoom cannot open it, the panel shows This Zoom app can't run here: update Zoom, or open the event page from the share link.

Who counts as an organizer

You are an organizer when the Zoom account you are signed in to in the meeting is a connected account of an InterScribe workspace. You do not have to be the meeting's host. Anyone else sees the participant view below.

If your Zoom account is connected to more than one workspace, the panel opens in the workspace that already owns this meeting, or else the account used most recently.

If the account is not connected, or Zoom stopped accepting its connection, the panel shows Connect this Zoom account to InterScribe with Connect in InterScribe ↗. If Zoom meetings are not turned on for the workspace, it shows InterScribe isn't available for this account.

Choose the workspace

The button at the top right of the panel shows your workspace. Select it to see your Zoom account, marked Connected, and the workspaces it is connected to; a tick marks the one where a new session will be created.

  • Choose another workspace before the meeting is a session. Once it is a session, its workspace is fixed.
  • Select Manage Zoom accounts in your browser ↗ to add or fix a Zoom account.

Make the meeting a session

A meeting that is not a session shows Make this meeting a session.

  1. STEP 1Check the name
Session name starts as the Zoom meeting topic. Change it if you want.
  2. STEP 2Choose the speaker language

Use Speaker language: search the languages or pick one from the list. The language you used last time is suggested.

  3. STEP 3Choose who can watch

Under Access, choose Public or Private for Visibility. Turn on Requires an access code if attendees must type a code, and Require a partnership pass if they need one. With a code on, People in this Zoom meeting skip the code lets anyone who opens InterScribe from inside this meeting in without typing it. Links shared outside the meeting still ask for the code.

  4. STEP 4Create it
    Select Create session.

Public sessions are listed on the portals set in your Event defaults. The captions, recording, summary, transcript and chat settings also come from your Event defaults, and the panel shows them under Settings. To change them, select Change Event defaults in your browser ↗. Every other setting is on the session's own page, which opens in your browser from Open this session in your browser ↗ once the session exists.

The session is created in your workspace and linked to this meeting. You go live next, from the panel or the Sessions list.

After you create the session, the panel shows Off air, with the session's Event code and a Share button.

  1. STEP 1Share

Select Share. InterScribe posts the event link in the meeting chat and confirms with Link sent to the meeting chat. If Zoom does not allow that, it copies the link instead: Link copied.

  2. STEP 2Change the speaker language, if needed

Under At a glance, select Change next to the language. The speaker language can only change before you go live.

  3. STEP 3Change access, if needed

Under Access, select Edit, change the choices and select Save. Access can only change before you go live.

At a glance also says when the Zoom bot joins: when the session goes live. If the meeting has not started, it waits for the host.

Go live and end

  1. STEP 1Go live
Select Go live, then Go live again at Go live now?. The audience link opens and the Zoom bot joins the meeting.
  2. STEP 2Watch it run
The panel shows On air, the bot's status, how many people are following, and recent captions. The panel updates live.
  3. STEP 3End
Select End session, then End the session. To carry on, choose Keep it running.

While you are on air:

  • Transcribing pauses captions on every channel. A pause shows Transcription is paused until you select Resume transcription. What was said while paused is not transcribed.
  • AI voices pauses every AI voice while captions carry on. It appears when the session has AI voices and you can control the live session. Select Resume AI voices to restart them.
  • Access shows as read only. To change it on air, open the session in your browser.
  • When you end a session, everyone following is disconnected and the transcript closes. If the session's scheduled time has not passed, the panel offers Resume session.

If the Zoom bot cannot join

If the bot gives up, the panel shows The Zoom bot couldn't join this meeting. The session stays on air and nothing is transcribed. Select Try again to send the bot again. Select Report a problem to open the session in your browser, or End session to stop.

Other states you may see:

  • Waiting for the host: the session is live and the bot joins once the host starts the meeting or lets it in.
  • Reconnecting…: captions continue when the bot hears the meeting again.
  • Reconnect Zoom before you go live: Zoom stopped accepting the workspace's connection. Select Reconnect in InterScribe ↗.

What other participants see

A participant who opens InterScribe from Apps is not an organizer. If the meeting is a session, the panel shows Opening the event page… and goes straight to the session's event page, the same one the share link and QR code open. They need no InterScribe account. See How your audience joins.

If the session asks for an access code, a participant opening it from inside this meeting skips the code only when People in this Zoom meeting skip the code is on and the session needs no partnership pass.

A participant whose Zoom account is not connected, in a meeting that is not a session, sees Connect this Zoom account to InterScribe.

Remove the app

Remove the app in Zoom under Manage, then Installed apps, or disconnect the account in InterScribe. Both are described, with what happens to your data, in Add, use and remove InterScribe in Zoom.

If something goes wrong

  • The panel couldn't open: select Try again. Nothing changed.
  • Anything else: use the contact page.
