Town halls, all-hands meetings and training sessions, with some people in the room and others joining from wherever they are. The company network is usually the hardest part.

The setting

A meeting room or a hall, a presenter at the front, and colleagues who speak different languages. Everyone opens the same link, in the room or not, and reads or listens in their own language. The network belongs to your IT team and filters what it lets through. Pick your size to see what goes where.

The AV desk or the meeting-room laptop

In a meeting room, a laptop can send the sound from a browser tab. With a sound desk, a spare mixer output goes into the computer running the agent.

You need

  • A browser tab, or a computer with the agent
  • Power, and sleep turned off

Your week, step by step

  1. A WEEK BEFORESend the allow-list to ITAsk IT to let InterScribe through on the network the AV desk uses.
  2. ONCECreate a room and the sessionThe room owns its AV channel, and the session takes its sound from it.
  3. THE DAY BEFORETest the audioSelect Test audio on the agent’s card. “We can hear it” means the sound arrives.
  4. DURINGWatch the connection badgeAmber or red means the network, not the Console.
  5. AFTERSummary and transcriptsThe summary is written after the session ends, and each language has its transcript.

Plan it

  1. Send the allow-list to IT a week before: interscribe.io, *.interscribe.io, scrb.live and *.scrb.live on port 443, and the live audio hosts we give you. See The allow-list for IT.
  2. Choose how the sound gets in. In a meeting room, a laptop can send it from a browser tab. With a sound desk, use the desktop agent. See Send audio from a browser and Set up the desktop agent.
  3. Create the session, and turn on Requires an access code under Access to keep an internal session for the people you give the code to. See Sessions and recurring sessions and How your audience joins.
  4. Add product, team and customer names to a vocabulary. See Glossary and context.
  5. Turn on questions and polls if you want them. See Chat, Q&A and polls.
  6. Check what you see about your listeners before you promise anyone privacy. See What you see about your listeners.

What usually goes wrong at a company event

Anything else: the troubleshooting section starts from what you see.

On the day

Before the town hall
  • IT has let InterScribe through, and the connection check passes from the room's network.
  • The computer that sends the sound is plugged in, cabled if you can, and its VPN is off.
  • A sound check, or Test audio, hears the presenter's microphone.
  • The link went out with the invitation, and the QR code is on the screen.
  • The access code, if you use one, went out with the link.
  • The Console's connection badge reads Good or Fair.

The IT pre-event checklist is the sheet to hand to your IT team.

Afterwards

Each language has its transcript, which you can read and download. With a summary template chosen, the summary is written after the session ends. See Transcripts and Summaries and summary templates.
